Assistant Cultural, Public Outreach and Administrative Officer

The Embassy of Ireland in Germany is seeking to recruit a full-time Assistant Cultural, Public Outreach and Administrative Officer. The role requires a strong background in organisational work, administration, copywriting and communications. The successful candidate will be able to work to a high level in both English and German, and will play a valuable role in the smooth operation of the Embassy’s cultural programme. The position is available from 1stDecember and will be for an initial fixed term of one year, with the possibility of further extension.

 

Role and Responsibilities:

 

This position will include the administration of the cultural programme; managing logistics for events, including liaising with property managers and service providers; management of the Embassy’s contracts with various service providers and project partnerships; management of the Monatsbuch, the Embassy’s monthly newsletter; drafting press releases and public communications; providing bookkeeping and accounting support; procurement of goods and services; and other Embassy administrative duties as they may arise.

 

The work will include:

 

  • Assisting the development, logistics & administration of the embassy’s cultural programme
  • Preparation of the monthly “Monatsbuch”
  • Copywriting for press releases, public communications, and social media
  • Graphic and media design assistance
  • Event support, particularly for cultural events
  • Administrative support particularly re. public diplomacy and Irish community outreach
  • Contact management
  • Translation (English-German and German-English)
  • Visa administration (full training will be provided)
  • Support to other sections of the Embassy

Candidate profile:

 

The successful candidate will be a highly motivated, adaptable, and enthusiastic individual with a proven capacity to multi-task in a demanding environment. They will be detail orientated with excellent organisational and communication skills. They will be able to conduct work in both German and English to a high level. They should have a broad understanding and a passion for arts and culture. They should possess a drive, ambition, and motivation to have new experiences working with a broad range of art forms. Furthermore, they will have strong problem solving skills and have a growth mind-set. They will become a part of a dynamic and fast-paced Embassy team and will have opportunities to develop their skills and gain hands-on experience in arts and office administration in a multinational context. The successful candidate may also be called on to support the Consular team during particularly busy periods. The position will also involve undertaking periodic out of hours duty (up to four times a year).

  

Essential requirements:

 

To be eligible the following qualifications and competences are required:

 

  • A third level qualification in a relevant area or work experience in a relevant area.
  • Excellent written and oral communication skills in German and English. The candidate should be a native speaker of German or English and have a minimum C1 in the other language.  In some cases, applicants may be telephoned in advance to establish language proficiency.  
  • Strong knowledge of Irish and German arts and culture and a genuine passion and interest in culture.
  • A high level of administrative skills, including proficiency in Microsoft Outlook, Word and Excel. 
  • A flexible attitude, good judgement and the ability to work effectively as part of a team.
  • The ability to work well under pressure while ensuring accuracy and attention to detail.      
  • A high level of discretion, commitment and reliability.
  • Strong problem solving and time management skills
  • The successful candidate must have a legal entitlement to live and work in Germany prior to recruitment.

 

Desirable requirements:

  • Knowledge and experience of creating and managing social media campaigns
  • An eye for design and some ability to use graphic design and / or media editing software
  • Experience in public communications campaigns

 

Terms and conditions of employment:

 

Starting date:  

1st December 2021 (negotiable)

Contract duration:

One year, with possibility of extension

Working hours:

Full time (35 hours/week) with occasional additional attendance outside of hours

Salary:                   

€30,900.68  gross per year

Annual Leave: 

24 days annual leave per year

Probationary period:       6 months

Security Clearance for Local Staff

Police vetting will be sought in respect of individuals who come under consideration for appointment.
