Vacancy for Temporary Visa Assistant - Visa Section

Embassy of Ireland Abu Dhabi 

Our mission is to promote and protect abroad the values, interests and economic well-being of Ireland and its people. We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.

The Embassy of Ireland Abu Dhabi is seeking a motivated and experienced individual to join our team as a Visa Assistant. The successful applicant will be responsible for any relocation costs which arise and must have the right to live and work in the United Arab Emirates prior to recruitment.

Role and Responsibilities:

The precise range of duties will vary over time according to the needs of the Visa office, but will include the following:

  • Filing and archiving of visa files;
  • Completing visa handling checks;
  • Responding to visa queries from the general public and visa applicants by phone, letter, e-mail and at the public counter;
  • Liaising with the Irish Honorary Consulates and Embassies who are responsible for accepting visa applications for the Abu Dhabi Visa Office;
  • General administration duties associated with the Visa Office;
  • Working as part of a small team with a focus on co-operation.

Essential Requirements candidates must be able to demonstrate:

  • The candidate must be a fluent English speaker with excellent oral and written communication skills; 
  • Arabic is desirable;
  • The candidate must have at least two years’ relevant professional experience in a similar role;  Previous experience in an Embassy visa office or a company that manages visa-related administration in the UAE is compulsory;
  • The candidate must have an undergraduate degree or above in a relevant field;
  • The candidate must be able to demonstrate a  high degree of integrity and trustworthiness;             
  • The candidate must be able to demonstrate by examples excellent verbal and written communication skills;
  • The candidate must demonstrate using work based examples of providing excellent interpersonal and networking skills  a self-starter with initiative and proven networking skills;
  • The candidate must provide examples of their ability to work under minimal supervision, ability to set priorities and organise workloads to meet deadlines;
  • The candidate must demonstrate using examples, proficiency in ICT  including working proficiency in Microsoft Office programmes such as Outlook, Word, PowerPoint and Excel;
  • The candidate should provide examples of their proven ability to work under pressure;
  • The candidate should demonstrate using examples their experience of problem-solving in a work environment;
  • The candidate must demonstrate flexibility and ability to work well individually and part of a team;
  • The successful candidate must have a legal entitlement to live and work in the United Arab Emirates, prior to recruitment.         

Terms and conditions of employment:

  • The successful candidate will be hired on a 3 month temporary fixed-term contractual basis and will be based at Embassy of Ireland Abu Dhabi;
  • Sunday to Thursday*, 40 hours per week based on an 8 hour day (*subject to confirmation);
  • Annual Leave entitlement 22 days per annum pro rata;
  • The salary for the position is AED 9,942.50 per month, paid locally on a monthly basis. Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account. Housing allowance may also be payable.

Selection Process:

  • Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential/Key Requirements above.
  • It is planned that interviews will be held in person in early January 2022.

Security Vetting/Clearance for Local Staff:

  • Police security vetting/clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful this information will be destroyed. If the applicant subsequently comes under consideration for another position they will be required to supply this information again.
