Clerk secretary (Consular, economic, political and public diplomacy)

Skills required

Communication, Research, Portuguese Language, English Language, Relationship Management, Compliance, Knowledge Management, Working within a Statutory Framework

Education

  • Degree, preferably in economics, social sciences
  • English and Portuguese language skills (C1 level minimum)
  • A knowledge of French is desirable but not essential
  • ICT (Outlook, word, excel)

Description of role

  • Consular services and assistance
  • Offer a range of consular services using online interfaces
  • Offer consular assistance to citizens in distress
  • Liaise with Portuguese hospitals, police services etc to offer assistance
  • Assist in preparing plans for improving consular services

Economic and Political reporting

  • Media monitoring of issues that are of interest to Ireland
  • Preparations of summaries in English on economic and political issues in Portugal
  • Maintain knowledge of political issues

Administration

  • Creation and maintenance of records
  • Maintain clear documentation for decision making
  • Work within a statutory compliance framework

Public diplomacy

  • Work in a team to create and develop key opportunities for promoting Ireland in Portugal
  • Work with the wider Irish community to organise events
  • Create and manage a social media strategy for the Embassy

Workplace culture

The office is a fast paced environment which would suit an individual who is interested in working across a range of issues. The Embassy will be expanding our provision of online services so a high degree of comfort using computers is essential. You would be part of a team where everyone is expected to assist with larger projects. The ideal individual would have the ability to work independently or as part of a team. Time management and prioritisation skills are crucial to the role. It is an excellent opportunity for an individual to develop their career. It would suit an individual who has at least 3-5 years of experience in a busy office environment, such as an Embassy. It is essential that you understand the requirements for confidentiality around all aspects of your work.

The Embassy operates within strict guidelines on how to conduct our business.

Experience within a compliance role would be advantageous. 

The working language of the office is English.

Salary

€1,662.42 gross (before tax and social security deductions) per month. The Embassy will make all required social security and taxation deductions. You will be required to provide all necessary information to the Embassy to allow this to be processed.

Holiday entitlements

23 days per year, pro rata

Working hours

The working hours of the Embassy are 09:30 until 17:00, Monday to Friday. Flexibility is required. Local staff also take part in a duty system.
