Office and Accounts Manager Position Embassy of Ireland, Paris
The Embassy of Ireland, Paris has a vacancy for a full-time locally engaged Office and Accounts Manager.
The responsibilities will include to provide high quality management and administration, to facilitate the smooth day to day running of the Embassy offices and to ensure maintenance of the Embassy premises which houses the Public Consular Office, Chancellery, Ambassador's Residence, as well as the Irish Delegation to the OECD and to UNESCO.
The successful applicant should be available to begin in May 2015. The statutory probation period will apply.
Main duties and responsibilities:
A wide variety of administrative, account and office management duties including:
- Preparing monthly accounts and payments, coordinate salary and social security payments with payroll company;
- Responsible for maintenance contracts (payments, renewals, evaluation of service and procurement) and other maintenance tasks as required;
- Provide high quality administrative support as necessary: developing up to date records, processing requests and maintaining real-time information flows;
- Upkeep of internal registers;
- Handle phone calls, enquiries and requests;
- Organise official visits and representational events;
- Organise meetings internally and externally;
- Attend and take minutes of meetings internally and externally;
- Occasional translation tasks from French to English and English to French;
- Manage an prepare correspondence (in English and French as required) and maintain contacts database;
- Work closely with other Embassy support staff and cover leaves of absence as necessary;
- Other related duties as required.
Required skills and experience:
Applications are invited from graduates in a relevant discipline (business administration, accountancy) with fluent English and French (written and spoken). Experience of office management and accounts in a busy international office environment are required.
Candidates must show capacity for flexibility and be willing to work to meet deadlines, sometimes under pressure. Excellent communication, analytical, IT and organisational skills are required. Delivering value for money and attention to detail are key competencies required for the positions.
Salary:
The basic gross annual salary is approximately 30-35,000 euros. Negotiable depending on experience.
